Dedicated Pilot Portal Architecture (my-eyv.pages.dev)

Etihad Virtual operates my-eyv (accessible at https://my-eyv.pages.dev) as a standalone, dedicated Pilot Portal application providing flight logging, flight vault searches, career tracking, callsign details, and pilot dispatcher utilities.

• Website Isolation: my-eyv.pages.dev is hosted on a separate Cloudflare Pages deployment and is isolated from the main public website (ey-virtual.pages.dev).
• Session & Auth Isolation: Non-EYV community members browse the main public website without sharing session authentication tokens across domains. Session state is strictly confined within my-eyv.pages.dev.
• Discord OAuth 2.0 Integration: Portal login utilizes Discord OAuth 2.0. Authentication requests standard identity scope (identify) to verify Discord User ID, username, and active server membership against our pilot roster. EYV never requests, accesses, or stores third-party passwords.
• Flight Vault & PIREP Submission: PIREPs filed through my-eyv are transmitted securely to our integrated Crew Center (Atlas API) and Oracle Cloud Infrastructure (OCI) backend microservices. Falsification or telemetry manipulation of filed PIREPs via portal tools is strictly prohibited and subject to immediate account revocation.
• Demo Mode Operational Sandbox: Demo Mode provides an offline preview environment for prospective recruits and guests. Flights executed or logged within Demo Mode operate strictly within local browser memory and are never transmitted to public rosters or Atlas.

Requirements to Apply

• Must be at least 13 years of age in compliance with Discord and IFVARB regulations.
• Must hold a minimum Infinite Flight grade of Grade 3 at the time of application review.
• Must maintain an active Infinite Flight Pro subscription throughout active membership.
• Must possess a valid Discord account and maintain active participation in the EYV Discord server.
• Must be in clean standing across the Infinite Flight Community (IFC) and IFVARB databases, with no active server bans or severe moderation flags.
• Should commit to logging at least one flight per 45 days unless an official Leave of Absence (LOA) is granted by Executive Leadership.
• Must maintain a single account only. Operating multiple accounts in EYV is strictly prohibited; if discovered, EYV holds the right to ban and remove both accounts.

Grounds for Application Rejection

Applications may be declined if the candidate has a documented history of severe IFC violations, holds active blacklists from IFVARB-registered entities, submits falsified flight hours or details, or fails to satisfy minimum subscription or grade requirements upon evaluation.

Voluntary Resignation & Departure

Pilots may voluntarily resign from Etihad Virtual at any time by opening a support ticket in Discord or notifying Executive Leadership. Upon resignation, membership status will be set to Retired, and personal identification details can be purged upon request in accordance with our Privacy Policy.

Respect & Professionalism

All members are expected to conduct themselves with maturity and mutual respect across all communications — including EYV Discord channels, IFC threads, live event voice lobbies, and in-simulator chat frequency.

• Zero tolerance for harassment, hate speech, toxicity, or personal attacks directed at any member or guest.
• No offensive, vulgar, or inappropriate profile pictures, display names, or custom status messages.
• No impersonation of EYV Executive Staff, IFVARB Board Officers, or Infinite Flight Staff.
• Political, religious, or contentious ideological debates are strictly prohibited in all EYV public channels.

In-Flight Conduct & Expert Server Ethics

Whenever flying under an EYV callsign or wearing Etihad Virtual liveries, you directly represent our brand on the global stage. Pilots operating on Expert Server must scrupulously obey IFATC instructions, maintain proper separation, avoid ghostable infractions, and refrain from reckless taxiway or runway behavior.

Zero-Tolerance Violations

Immediate permanent revocation of membership without appeal will be enforced for:

• Distributing NSFW, illegal, harmful, or pirated content anywhere within the EYV ecosystem.
• Doxxing, harvesting, or sharing personal private data of any community member without consent.
• Deliberately griefing, trolling, or disrupting official EYV group flights, airshows, or event formations.
• Falsifying flight logs, manipulating telemetry data, or exploiting software glitches to artificially boost rank.
• Using or operating multiple accounts (alt accounts) within our VA. If a user is found using two accounts in our VA, EYV holds the right to ban and remove both accounts from our VA.

Progressive Action System

For minor non-zero-tolerance infractions, EYV enforces a structured progressive disciplinary framework:

• 1st Offence Informal advice & verbal counseling from a Staff Officer.
• 2nd Offence Formal written warning issued; 7-day temporary restriction on event participation.
• 3rd Offence 14-day flight deck suspension and temporary Discord mute.
• Repeated Permanent expulsion from Etihad Virtual and notification to IFVARB registers.

Appeals Procedure

Pilots or suspended users wishing to contest a disciplinary ruling or request ban reconsideration may contact Executive Leadership via private message. Reconsideration may be requested at any time, allowing staff to evaluate whether a ban can be lifted or a second chance granted based on conduct and time passed. Decisions rendered by Executive Leadership following appeal review are final.

Policy Amendments & Service Updates

Etihad Virtual reserves the right to amend these Terms of Service and Privacy Policy at any time. Notice of significant changes will be announced in our official Discord server (#announcements). Continued participation in EYV following published updates constitutes full acceptance of the revised terms.

Limitation of Liability & Service Availability

All EYV tools, flight dispatchers, Jin-GO AI, live tracking maps, and pilot utilities are provided on an "as-is" and "as-available" basis. Etihad Virtual accepts no liability for temporary service disruptions, third-party outages (Atlas, Oracle Cloud, Infinite Flight API), or loss of logged flight data resulting from technical failures.

Standard Operating Procedures (SOP)

• Callsign Format: All official flights must be conducted using your assigned callsign format (e.g. EY 001VA, EY 499VA).
• Aircraft & Liveries: Operating flights should utilise official Etihad Airways, Etihad Cargo, or approved codeshare partner aircraft and liveries as outlined in our fleet guide.
• Flight Filing: PIREPs must be submitted via the official Crew Center (VA Center / Atlas) within 48 hours of flight completion.
• Fuel & Weight Planning: Pilots are encouraged to utilize our Jin-GO AI Dispatcher or integrated pilot calculators for accurate weight & balance management.

Rank Synchronization & Route Selection

It is the responsibility of the pilot to keep their Discord rank updated to match their official ATLAS rank.

• Promotion Requests: The #promotion-request Discord channel must be used to request rank promotions once hours/criteria are met in ATLAS.
• Route Eligibility: The Discord rank is the governing rank that counts for route selection, sector access, and rank-restricted aircraft authorization.

PIREP Verification & Processing Timeline

Submitted Pilot Reports (PIREPs) undergo routine verification by our Operations staff:

• Standard Review Window: PIREPs are typically reviewed and approved within 24 hours of submission.
• Extended Review Window: On rare occasions or during high operational volume, processing may take up to 72 hours.
• Staff Inquiries: Members are respectfully requested to allow 72 hours to elapse before contacting Staff Officers regarding pending PIREP approvals.
• Retrospective Audit & Rejection: Operations Staff reserve the right to retrospectively deny or revoke any PIREP (and adjust logged hours accordingly) if a flight is subsequently discovered to be falsified, telemetry-manipulated, or operated using an unauthorized aircraft violating rank restrictions or route network rules.

Mandatory EYV Callsign Requirement & Enforcement

Pilots are strictly required to operate under their assigned EYV callsign (e.g., EY 001VA) for all flights conducted for Etihad Virtual.

• 1st Offense The pilot will receive a friendly message & reminder from Staff.
• 2nd Offense The pilot will receive a final formal warning.
• 3rd Offense Permanent ban from Etihad Virtual.

Note: Using a real-life airline callsign is not a viable reason for an exemption and will be treated as using an incorrect callsign.

Inactivity & Leave of Absence (LOA)

Pilots inactive for more than 45 consecutive days without an approved LOA should log a flight or contact staff to avoid being placed on Reserve status. At 60 days of unexcused inactivity, membership status may be reviewed or retired. LOAs up to 90 days can be requested at any time via the Crew Center portal.

Approved Codeshare Flight Operations

Etihad Virtual maintains strategic codeshare agreements with official partner virtual airlines (including Air Arabia Virtual, Etihad Regional, and accredited global partner carriers).

• Authorized Fleet & Liveries: When operating a codeshare flight, pilots must strictly utilize the assigned aircraft and liveries designated in our official Codeshare Network Database.
• Callsign Usage: Flights operated under Etihad Virtual codeshares must be logged using your assigned EY callsign unless explicit alternate instructions are published for a joint event.
• PIREP Submission & Credit: Codeshare PIREPs must be filed through the official Crew Center (Atlas) or my-eyv Portal selecting the respective codeshare route entry. Approved codeshare hours count fully toward rank promotions and logged flight totals.
• Partner Community Conduct: During joint events, shared voice channels, or collaborative flights with partner VAs, EYV pilots are required to maintain high standards of professionalism and follow all partner community guidelines.

Etihad LIVE Access & Communication

All official communications, questions, and updates regarding Infinite Flight LIVE take place in the dedicated #etihad-live channel. Pilots invited to the LIVE feature can request staff assistance in #etihad-live to be added to the official Etihad organisation.

LIVE Supporter Lifts & Hour Multipliers

All EYV pilots enrolled in the LIVE organisation are granted the @Live Member role. Members who choose to support the organisation by "Lifting" the Etihad LIVE group unlock tier-based hour multipliers on all Etihad LIVE flights:

• @Live Supporter (1–2 Lifts) → 1.5x Multiplier on all Etihad LIVE flights.
• @Live Great Supporter (3–4 Lifts) → 2.0x Multiplier on all Etihad LIVE flights.
• @Live Hyper Supporter ⭐ (5+ Lifts) → 3.0x Multiplier on all Etihad LIVE flights.

PIREP Filing: When submitting flight reports for Etihad LIVE flights, pilots must select the multiplier option matching their exact active LIVE role.

Standard Flight Restrictions: All standard flight time restrictions, route limits, rank requirements, and SOP flight deck rules apply to Etihad LIVE flights as normal.

Dynamic Operational Guidelines

Because Infinite Flight LIVE remains an evolving feature, all rules, perks, and multiplier allocations are subject to ongoing refinement and optimization. Pilots can share feedback or ask questions anytime in #etihad-live.

Channel Structure & Etiquette

• Keep conversations relevant to the topic of each designated text channel (e.g. #general for discussion, #media for screenshots).
• Avoid flooding channels with rapid single-word messages, excessive emojis, or repetitive image spam.
• English is the primary language for main public channels to ensure proper moderation and accessibility for our international flight deck.
• Unsolicited commercial advertising or recruitment for external VAs, Discord servers, or commercial products is strictly prohibited.

Pings & Mention Policy

Mass mentions (@everyone and @here) are restricted to Executive Board members. Please refrain from directly tagging Staff Officers for routine PIREP approvals or general inquiries — use the #helpdesk ticket system instead.

Trademark & Non-Commercial Disclosure

Etihad Virtual is a non-profit fan organization created purely for flight simulation entertainment within Infinite Flight. We are NOT affiliated with, endorsed by, or connected to the real-world Etihad Airways, Air Arabia, or their respective parent companies.

All official trademarks, airline names, logos, callsigns, liveries, and brand assets referenced across this website remain the sole intellectual property of their respective corporate owners and are used here strictly under nominative non-commercial fair use principles.

Jin-GO AI Accuracy & Staff Policy Disclaimer

Jin-GO AI (our AI Bot) is an automated assistant and may occasionally make mistakes or output wrong or inaccurate details.

• Pilots are required to always double-check their information against official EYV documentation.
• Claims, appeals, or PIREP details based on wrongful information provided by Jin-GO AI will be refused by Staff Officers.
• Official Staff rulings and published handbook rules supersede any output from the AI Bot.

Community Media & Submissions License

By submitting screenshots, media, videos, or flight replays across official EYV platforms (Discord, checkflight logs, or event forms), members grant Etihad Virtual a non-exclusive, royalty-free license to display and showcase such content within official EYV websites, promotional materials, and community media galleries.

Application & Onboarding Information

When applying to join Etihad Virtual, candidates voluntarily provide basic operational details:

• Infinite Flight Display Name & User ID Grade status
• Discord Username & Tag identifier
• Infinite Flight Community (IFC) Profile Link (optional)

Application data is submitted through Google Forms and stored securely in staff-only Google Workspace Sheets.

Telemetry & Live API Services

Our Live Flight Tracker & Dispatch services read public telemetry endpoints provided by Infinite Flight's Live API and Discord's Guild Widget API. No private passwords, IP logs, tracking cookies, or commercial analytics scripts are stored or harvested by our web servers.

Client Local Storage

We use standard browser localStorage and sessionStorage solely to store your visual theme preference (Dark / Light mode) and temporary session state. This data stays entirely on your device.

EYV Recruitment Bot & Checkflight Data Processing

To streamline candidate onboarding and manage checkflight workflows, our automated Discord bot (EYV Recruitment Bot) handles automated operations including initial welcome messages, inactivity reminders, turnaround tracking, and channel management. Please note: Checkflight evaluation and pilot feedback are performed personally by EYV Staff Officers, not by the bot. The bot collects and processes the following applicant data:

• Discord User Identifiers: Discord User ID, display name, candidate roles (e.g., Recruits), and dedicated private checkflight text channels.
• Flight Replay Submissions: Uploaded Infinite Flight .replay files and third-party replay share links (including sharemyinfiniteflight.com, Google Drive, Dropbox, and iCloud).
• Recruitment Telemetry & Timestamps: Automated initial dispatch messages, turnaround metrics (days taken to complete checkflights), inactivity warning stages (7-day & 14-day reminders), and 21-day inactivity auto-kick/archiving logs.
• Callsign & Roster Data: Preferred/assigned EYV pilot callsigns (e.g., EYV001) and callsign roster mapping managed via Google Sheets.

Data Access & Security Controls: All EYV Staff Officers involved in the recruitment process have access to an overview database for application pipeline management and status tracking. Full candidate data and telemetry payloads are strictly restricted and can only be accessed by the Head of Tech using a unique, private encryption key held exclusively by the Head of Tech.

• Discord Platform Data: Discord User ID, Username, Display Name (scanned for callsigns like EYV001 and country flag emojis for event multipliers), and assigned rank roles.
• Virtual Airline (Atlas VA) Data: Total flight hours, PIREP status (approved/pending/denied), aircraft type, livery, route ICAOs, passenger load, cargo weight, and rank progression metrics.
• Command & Interaction Data: Execution of slash commands (e.g., /pireps, /rank, /mystats, /nationaldays, /leaderboard). Personal logbook queries respond ephemerally (visible exclusively to you).

2. Purpose of Processing & Usage

• Role & Flight Synchronization: Automatically updating pilot Discord roles and career progression based on verified flight time from Atlas.
• Community Event Multipliers: Matching member country flags against daily National Holidays to trigger active 3x / 4x / 5x flight hour multipliers.
• Private Notifications & AI Features: Delivering private DMs regarding PIREPs placed on hold/denied and generating creative, anonymized promotion and celebration text via Groq AI.

• Storage Location: All bot configuration files (seen_pireps.json, announced_ranks.json, bot_settings.json) and system logs are stored locally on a secured, firewall-protected Virtual Private Server (Oracle Cloud Infrastructure).
• Data Retention: Logbook state caches are retained as long as the pilot remains an active member of Etihad Virtual.
• Security Measures: API tokens and credentials are kept strictly in server-side environment variables (.env). No passwords, IP addresses, or payment details are collected or processed.

• Access Control: Personal logbook commands (/pireps, /rank, /mystats) are strictly private. No pilot can view another pilot's private logbook data through the bot.
• Data Rectification & Deletion: Pilots may request complete removal or unlinking of their Discord ID from Atlas profile settings at any time by contacting EYV Staff.
• Feature Opt-Out: Administrators can toggle specific automated notifications (DMs, feed announcements) ON or OFF at any time via /toggle.

Discord OAuth 2.0 Scope & Identity Verification

When authenticating into the my-eyv Pilot Portal (https://my-eyv.pages.dev) via Discord OAuth 2.0, our authentication handler requests standard read-only identity credentials:

• Discord User ID & Username: Used to match your account against our active pilot roster and verify assigned EYV callsigns.
• Avatar URL & Profile Metadata: Displayed within your personal pilot dashboard header.
• Guild Membership Status: Verifies that your Discord account remains in active, good standing within the official Etihad Virtual Discord server.

We do NOT request or access your email address, direct messages, friend lists, or external server memberships.

Information collected by EYV is processed strictly for legitimate virtual airline operations:

• Evaluating prospective pilot applications and conducting onboarding.
• Assigning official callsigns, rank levels, and awards in our Crew Center.
• Communicating flight schedules, event invites, and operational updates via Discord DMs.
• Maintaining internal roster integrity and verifying active membership status.

We will never sell, lease, monetize, or publicly broadcast your contact information to external advertisers or third parties.

Third-Party Platform Infrastructure

EYV operates utilizing established enterprise cloud infrastructure:

• Oracle Cloud Infrastructure (OCI): Utilized for secure 24/7 hosting of EYV Discord bots (including EYV Recruitment Bot), backend API systems, and database microservices.
• Google Workspace / Sheets: Protected by Google multi-factor authentication, accessible strictly by active EYV Staff Officers.
• Discord Inc.: Subject to Discord's global Terms of Service and Privacy Policy.
• VA Center (Atlas System): Subject to VA Center's security standards for virtual flight logging.

We believe in 100% data transparency. Etihad Virtual utilizes zero third-party tracking cookies or advertising pixels. Below is a complete matrix of all data items stored locally on your browser device:

Children's Privacy & Minor Protection (COPPA / GDPR)

Etihad Virtual strictly adheres to Discord and IFVARB age regulations requiring members to be at least 13 years of age. We do not knowingly collect or solicit personal data from children under 13. If Executive Leadership discovers that an individual under 13 has submitted personal information, all associated records will be immediately deleted and membership access revoked.
